Best ClickUp alternatives for people who want less, not more

ClickUp's pitch has long been "one app to replace them all": tasks, docs, whiteboards, chat, goals, dashboards, automations and increasingly AI agents. For some teams that is exactly right. For others, the sheer number of options becomes the problem: hierarchies of spaces, folders and lists, dozens of views, and a setup nobody fully understands. See when project tools do everything.

If you are looking for something simpler, here are alternatives grouped by what you need.

You want to see who owes what: Axtio

Axtio is a 2D board with projects as rows and four columns: Mine, Other, Next Steps and Done. Its focus is handoffs: what you need to do, what you are waiting on, and for how long. Items waiting more than a week are flagged for chasing.

  • Good for: individuals and small teams with several projects and lots of dependencies on other people
  • Trade-off: no docs, automations or custom fields, by design
  • Price: the free version runs locally in your browser with no account

You want simple Kanban: Trello

Familiar, quick to learn, and good for one board per project. See Axtio vs Trello.

You want a calm team hub: Basecamp

Projects with to-dos, messages, files and chat, with fewer notifications. See Axtio vs Basecamp.

You want tasks with a clean interface: Todoist or Things

Strong personal task managers with natural language input. Good for individuals; less so for tracking waiting across a team. See Axtio vs Todoist and Axtio vs Things.

You want structured issue tracking: Linear

Fast and opinionated for software teams. See Axtio vs Linear.

Moving off ClickUp

  • Export first. ClickUp offers exports; check the ClickUp help centre for current options.
  • Do not migrate everything. Move only active projects and their next actions. Leave the archive behind.
  • Pick one owner for the new setup and keep it simple for the first month.

The real question

Most teams do not leave ClickUp because it lacks features. They leave because they spend more time managing the tool than doing the work. If that is your reason, pick the alternative with the fewest decisions to make, and resist rebuilding your old setup in a new place.
