monday.com is a capable work management platform, and for many organisations it is a good fit. But its own investor communications this year signalled a focus on larger customers, and many small teams find it more than they need: lots of configuration, seat-based pricing with minimums, and features built for companies with procurement departments. See monday.com says small teams cost too much to chase.

If you are a team of one to ten looking for something lighter, here are the realistic alternatives, grouped by what you actually need.

If you mostly need to see who has the ball: Axtio

Axtio is a 2D board: projects are rows, and the columns are Mine, Other, Next Steps and Done. It answers one question very clearly: who has the ball on each action? Items waiting on other people show how long they have been waiting and get flagged for chasing.

  • Good for: individuals and small teams tracking actions across several projects
  • Trade-off: deliberately simple; no automations or custom fields
  • Price: free version runs in your browser with no signup; a cloud sync tier is built and behind an early-access waitlist

If you want classic Kanban: Trello

Trello is the best-known Kanban tool: lists and cards, easy to learn, with power-ups for extras. Good for single-project boards. Less good for seeing many projects together. See Axtio vs Trello.

If you want communication in one place: Basecamp

Basecamp combines to-dos, message boards, chat, files and schedules per project, with a calm, opinionated approach. Good for client-facing agencies. See Axtio vs Basecamp.

If you want docs and tasks together: Notion

Notion's databases can hold tasks next to documents and wikis. Very flexible, but you design the system. See Axtio vs Notion.

If you want a full-featured alternative: Asana or ClickUp

Asana and ClickUp offer many of monday.com's capabilities: multiple views, automations, dependencies and reporting. They suit teams that genuinely need those features. See Axtio vs Asana and Axtio vs ClickUp.

If you are in Microsoft 365: Planner

Already included in many business plans and built into Teams. See Axtio vs Microsoft Planner.

How to choose

Ask three questions:

  1. What problem are you solving? Seeing who owes what, sharing communication, or modelling a complex process?
  2. Who maintains it? Flexible tools need an owner.
  3. What does it cost at your size? Check per-seat pricing and minimum seat counts on each vendor's own pricing page.

Most small teams overbuy. Start with the simplest tool that answers your main question, and add complexity only when you feel a real gap. See why small teams abandon complex tools.
