How to manage a home renovation with contractors on one board
Anyone who has renovated a kitchen or bathroom knows the pattern. The work itself takes days. The waiting takes months: for quotes, for a permit, for a plumber's availability, for tiles that are on back order. Most homeowners carry all of it in their head and a long message thread. A 2D board makes it visible.
Rows for each part of the job
Use one row per trade or phase:
- Design and planning
- Permits and approvals
- Demolition and building
- Plumbing
- Electrical
- Materials and fixtures
- Finishing and decorating
- Payments
Columns for who has the ball
- Mine: decisions and tasks you owe, such as choosing tiles or approving a quote.
- Other: things you are waiting on, such as a builder's quote, a permit decision, a delivery date, an electrician's visit.
- Next: work that cannot start until something else finishes.
- Done: finished and, ideally, paid.
Renovations live in the Other column. In Axtio, an action in Other shows how long it has been waiting, and at seven days it turns red, so the quote you requested three weeks ago does not quietly disappear. See the waiting-on-someone problem.
Get quotes in parallel
Ask several contractors for quotes at once and track each as an action in Other. When they arrive, compare and decide in Mine. Waiting for one quote at a time is how renovations lose months.
Watch dependencies
Plasterers cannot start until electricians finish first fix. Tilers wait for plumbers. Put dependent work in Next with a note of what it depends on, and move it to Mine or Other when the blocker clears. That simple discipline prevents trades being booked on the wrong day. See bottleneck thinking for projects.
Track payments
Add actions for deposits and stage payments, and keep receipts and invoices together. A payments row prevents both overpaying and paying for work that is not finished.
Keep a decisions log
Renovations involve hundreds of small decisions. Note each one as a Done action with the choice ("Chose matt white tiles, 30x60"). When a question comes up later, the answer is there.
Before the holidays
Trades and suppliers slow down over the holidays. In November, scan Other for anything that could slip past December and chase it now.
