Kanban for HR teams: tracking hires, reviews and requests without losing the thread
HR work is full of dependencies. A hire waits on a hiring manager's feedback. An offer waits on budget approval. Onboarding waits on IT for a laptop. A policy update waits on legal. Review season waits on dozens of managers. Most of the delay in HR is not the HR team being slow; it is the ball sitting in someone else's court.
A 2D board makes that visible.
Rows for the work streams
Set up one row per stream of work:
- Hiring (or one row per open role if you have several)
- Onboarding
- Review cycle
- Policy and compliance
- Employee requests
- Payroll and benefits changes
Each row shows its own Mine, Other, Next and Done.
Columns for who has the ball
- Mine: things HR needs to do, such as drafting an offer or scheduling interviews.
- Other: things waiting on someone else, such as a manager's interview feedback or a signed contract.
- Next: things queued, like next month's policy review.
- Done: finished.
The Other column is where HR work stalls. When feedback has been waiting five days, you can see it without opening an inbox. In Axtio, actions in Other start showing their age after four days, and turn red after seven. See the waiting-on-someone problem.
Review season on one board
Performance review season is a classic Other problem: HR sends the forms, then waits on every manager. Put one action per manager in Other with the manager's name, and the board becomes a live tracker of who still owes reviews. Chase the red ones first. Onboarding without dropped steps
New starters need a laptop, accounts, a desk, a buddy and a first-week plan. Each depends on someone different. Put each step on the onboarding row with the person responsible. When the start date arrives, Done should be full and Other empty.
Keep personal data out of the board
HR handles sensitive information. Keep actions short and non-identifying where possible ("Offer for role 14 awaiting approval"), and keep personal details in your HR system. Once a week, scan the board:
- What is red in Other? Chase it.
- What in Mine has sat too long? Do it or delegate it.
- What should move from Next to Mine?
