Kanban for grant writers: deadlines, attachments and sign-offs on one board

Grant writing is deadline-driven and dependency-heavy. The narrative is usually yours to write. Almost everything else belongs to someone else: the finance team's budget, a partner's letter of support, the board's approval, the CEO's signature, an attachment from programme staff. A missed attachment can sink an otherwise strong application.

A 2D board shows exactly what each application is waiting for.

One row per application

Each grant application becomes a row, named with the funder and deadline: "Community Fund, 14 Nov". Sort rows by deadline so the nearest is always at the top.

Columns for who has the ball

  • Mine: sections you are writing, forms you are filling in.
  • Other: items owed by colleagues or partners, such as the budget, letters of support, data from programme staff, sign-offs.
  • Next: work queued after the current stage.
  • Done: complete.

The Other column is the risk register. If a letter of support has been waiting a week, Axtio turns it red so you chase it in time. See follow-up cadence.

A typical application

  1. Mine: read guidelines and build a requirements checklist.
  2. Other: finance prepares the budget.
  3. Other: partners provide letters of support.
  4. Mine: write the narrative.
  5. Other: programme lead reviews.
  6. Other: executive or board approval.
  7. Mine: assemble attachments and submit.
  8. Mine: log submission and reporting dates.

Ask early for anything you do not control

Requests to partners and finance should go out in the first week, not the last. Put them in Other on day one with a date. The board makes it obvious when something is still outstanding with ten days to go.

Track reporting after the award

Winning a grant creates new work: reporting deadlines, budget updates, outcome data. Add a row for each active grant's reporting, with dates in Next. Missed reports damage funder relationships.

Year-end is peak season

Many funders have autumn and year-end rounds, and nonprofits often run GivingTuesday campaigns in the same weeks. A single board across applications and campaigns shows where your time is going. See also Kanban for nonprofits.
