How to plan holiday gifts on a simple board so December is calmer

Holiday gift shopping has the shape of a small project: a list of people, a budget, a set of deadlines (shipping cut-offs, family visits), and a lot of waiting on deliveries. Most December stress comes from not knowing what is already sorted. A small board fixes that in an evening.

One row per person or group

Make a row for each person or household you buy for: "Mum", "Sam and Jo", "Team Secret Santa". If the list is long, group smaller gifts into one row, like "Teachers" or "Neighbours".

Columns for where each gift is

  • Mine: decide on a gift, order it, wrap it.
  • Other: waiting on something outside your control, such as a delivery, a custom order, or a sibling who promised to chip in.
  • Next: things to do later, like wrapping or writing cards.
  • Done: given, or ready to give.

Deliveries are the Other column's main job in December. When something has been "out for delivery" for days, it shows up. In Axtio, actions waiting in Other for a week turn red, which is the moment to check tracking or order a backup.

Set the deadlines first

Before choosing gifts, write down:

  • Carrier shipping cut-off dates for your region
  • Dates you will see each person
  • Your overall budget

Ordering early is the single best way to reduce stress. Black Friday falls on 27 November in 2026, and many shops publish December cut-off dates around then.

Capture ideas all year

The best gift ideas arrive in March, not December. Keep a small "Ideas" action under each person's row and add to it when someone mentions something they would love. Our sister app Jot has a guide on keeping a gift ideas list all year if you prefer a quick-capture tool for the ideas themselves.

Keep the board small

This is not a work project. Five to fifteen rows, a handful of actions each, and a glance every few days is enough. Delete the board in January. For the same "make it visible, then stop worrying" approach in other parts of life, see the art of the brain dump.
