How to Manage Context Switching When You Wear Many Hats

Founders, freelancers, and hybrid workers switch contexts dozens of times a day. You can't eliminate it, but you can make each switch cheaper.

The cost of the switch

Every context switch carries a reload cost: your brain has to page in where you left off, who's involved, and what's next. Do that thirty times a day across many roles and the reload tax dwarfs the actual work. The aim isn't zero switches — it's cheaper ones.

Batch by context

The first lever is batching: group similar work so you switch contexts a few times a day instead of constantly. Answer all client messages in one block, do all admin in another. Fewer transitions means less reload tax and deeper time inside each context.

Keep one map for all contexts

The second lever is a single source of truth. When every project and role lives on one Axtio board, switching contexts means moving your eyes to another row, not hunting through another app. The reload is instant because the map never changes — only the part you're looking at does.

Make switching deliberate

Switch on purpose, at planned moments, from one clear view. That turns context switching from a constant leak into a controlled, occasional cost.
